Sphere Card LLC (“SphereCard,” “we,” “us,” or “our”) respects your privacy and is committed to protecting personal information. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you use SphereCard®, My SphereCard®, Find My SphereCard™, our websites, mobile applications, and related products and services (collectively, the “Services”).

By using the Services, you agree to the practices described in this Privacy Policy. Our Terms of Use also govern your use of the Services.

 

1. Information We Collect

A. Information You Provide

We collect information you provide directly, including:

  • Name

  • Email address

  • Telephone number

  • Date of birth (when required)

  • Username and account credentials

  • Business or company information

  • Professional title, skills, services, and experience

  • Profile photographs and other images

  • Website and social media links

  • Service areas and professional details

  • Media, resources, credentials, and work examples

  • Appointment and availability information

  • Feedback, reviews, responses, and resolution-related information

  • Messages, files, and other content you submit through the Services

Some information is required to create or operate an account. Without it, certain features may not function.

B. Sensitive Information

SphereCard does not intentionally collect:

  • Government-issued identification numbers

  • Biometric identifiers

  • Health information

  • Financial account numbers (outside of payment processing)

  • Protected-class data (race, religion, etc.)

Users should not upload sensitive personal information unless explicitly required for a feature.

C. Information You Make Public

SphereCard enables professionals to publish public-facing profiles (“SphereCards”). Information you publish may include:

  • Name

  • Business information

  • Professional title

  • Services, skills, and experience

  • Photos, media, and credentials

  • Service areas

  • Contact options

  • Reviews and ratings

Public SphereCards may be accessible via:

  • Direct links

  • QR codes

  • NFC sharing

  • Find My SphereCard

  • Search engines

Only publish information you are comfortable making public.

D. Information Collected Automatically

We automatically collect:

  • IP address

  • Device type and identifiers

  • Browser and operating system information

  • App and website activity

  • Dates and times of access

  • Pages or features used

  • Performance and diagnostic information

  • Error and crash information

  • Network and connection information

This information supports security, performance, analytics, and troubleshooting.

 

2. Device Permissions

Depending on your device and the features you use, SphereCard may request access to:

Camera

Used for QR codes, capturing images, and video communications.

Contacts

Used only when you choose features that require contact access.

Location

SphereCard may collect:

  • Approximate location for discovery and service-area features

  • Precise location only when required for a feature you explicitly activate

Location data is not stored unless necessary for the feature.

NFC

Used for supported sharing interactions.

Files, Photos, or Storage

Used when you upload or share media or files.

You may manage permissions through your device settings.

 

3. How We Use Information

We use information to:

  • Create, authenticate, and manage accounts

  • Create, publish, display, and share SphereCards

  • Provide messaging, voice calls, video calls, and screen sharing

  • Support appointments and scheduling

  • Enable sharing through supported methods

  • Provide Find My SphereCard search and professional discovery

  • Display information you choose to make public

  • Support customer feedback and resolution processes

  • Provide reminders and notifications

  • Process and maintain subscriptions

  • Respond to customer-service requests

  • Maintain security and prevent fraud

  • Diagnose technical problems

  • Improve the performance and functionality of the Services

  • Comply with legal obligations

4. Communications (Messaging, Voice, Video, Screen Sharing)

Message Content

SphereCard stores message content and attachments for delivery, security, and user history. Retention Period: Up to 24 months, unless required longer for fraud, security, or legal obligations.

Voice and Video Calls

SphereCard does not record voice or video calls. Call metadata (timestamps, participants, connection quality) may be retained for diagnostics and security.

Third-Party Providers

Communication features may be supported by providers such as:

  • Twilio

  • Agora

  • WebRTC-based services

These providers process data only as needed to deliver communications.

 

5. Appointments and Calendar Integrations

If you connect a third-party calendar:

  • SphereCard exchanges only the information required for synchronization

  • You may disconnect at any time

  • Their privacy policies govern your use of third-party services

 

6. Customer Feedback and Resolution

Feedback, reviews, compliments, concerns, and complaints may be processed and retained to operate the feedback system. Public-facing features may display ratings, badges, or responses.

Avoid including sensitive personal information in public feedback.

 

7. Payments

SphereCard uses third-party payment processors such as Stripe.

Payment Information

Processors may collect:

  • Payment card number

  • Expiration date

  • Billing address

  • Account-holder information

SphereCard receives:

  • Last four digits of card

  • Billing ZIP/postal code

  • Subscription status

  • Payment confirmations

SphereCard does not store full payment-card numbers.

 

8. Cookies and Similar Technologies

SphereCard uses:

  • Essential cookies (security, authentication, session management)

  • Analytics cookies (usage, performance)

  • Preference cookies

SphereCard does not use advertising cookies or cross-site tracking.

Where required, we provide cookie consent options.

 

9. How We Disclose Information

SphereCard does not sell personal information.

  • Email, SMS, and notifications

  • Payment processing

  • Voice and video communications

10. Find My SphereCard and Search Engines

Public SphereCards may be discoverable through Find My SphereCard and may be indexed by search engines.

Removing information from SphereCard does not guarantee immediate removal from search results.

 

11. Data Retention

Retention periods vary by category:

  • Account information: retained while the account is active

  • Messages and attachments: retained up to 24 months

  • Feedback and resolution records: retained up to 36 months

  • Payment records: retained as required by financial regulations

  • Backups: retained up to 30 days

  • Security logs: retained up to 12 months

When information is no longer needed, SphereCard deletes or de-identifies it.

 

12. Account and Data Deletion

You may request deletion of your account and personal information.

Upon a valid request, SphereCard will delete or de-identify personal information except where retention is required for:

  • Legal compliance

  • Fraud prevention

  • Security

  • Billing

  • Dispute resolution

Public information may persist outside SphereCard’s control.

13. Your Privacy Rights

Depending on your location, you may have rights to:

  • Access personal information

  • Delete personal information

SphereCard uses:

15. International Users

Information may be processed or stored in the United States or other countries.

Where required, SphereCard uses:

  • Other legally recognized transfer mechanisms

 

16. Children’s Privacy

SphereCard is intended for professional and business use.

Minimum account age: 18 years.

If we learn that we collected information from a child in violation of applicable law, we will delete it.

 

17. Business Transfers

Information may be transferred as part of a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets.

We may preserve or disclose information to comply with valid legal process.

Where permitted, we may notify users of legal requests.
